Your privacy matters. At Psych Recovery Coach, we respect your personal information and are committed to keeping it safe. This policy explains how we gather, use, store, and share information in line with the Australian Privacy Principles (APPs) and NDIS requirements.

Providing personal information is voluntary. Your choice to share—or not share—certain details will not affect your ability to access our support services.

2. Information We Collect

We may collect the following information, but only what is necessary to provide safe, effective, and personalised support:

Personal identifiers: Name, date of birth, contact details (phone, email, address).
NDIS details: NDIS participant number, plan information, support coordinator contacts.
Health & wellbeing information: Diagnosis, mental health history, medication, goals, and progress notes, provided voluntarily to support your coaching plan.
Service usage: Appointment dates, session duration, feedback you provide.
Electronic data: IP address, cookie data, and website usage analytics for security and performance only.

3. How We Use Your Information

We use your information to:

  • Provide coaching services tailored to your individual goals.
  • Communicate session reminders, summaries, and important updates.
  • Prepare NDIS-related documentation (progress reports, goal statements).
  • Improve our services using only de-identified, aggregated data.
  • Meet legal obligations, such as mandatory reporting of serious risk.

Your information will never be used to make decisions about whether you can access support services.

4. Who We Share Information With

We do not sell or rent your personal information. Information may only be shared in the following ways:

  • Share with NDIS support coordinators or plan managers: only with your explicit consent.
  • Coordinate with other health professionals: when needed to provide safe, integrated support.
  • Provide to government agencies: only when required by law (e.g., child protection, serious risk reporting).
  • Engage third-party service providers: such as secure video conferencing or cloud storage, under strict confidentiality agreements.

5. Data Security

  • Store all electronic records on encrypted, password-protected drives. Live data is hosted locally in Australia, while encrypted backups are stored securely on Proton Drive in Switzerland under a Data Processing Agreement.
  • Keep physical documents in a locked filing cabinet within a restricted-access office.
  • Limit access to staff who need it to provide your services.
  • Conduct regular security audits and privacy training to maintain compliance.

6. How Long We Keep Your Information

  • Coaching records: Notes, plans, and progress reports are kept for 7 years after the last session, in line with NDIS guidelines.
  • Contact details: Stored for 2 years after the last interaction, unless you request earlier deletion.

7. Your Rights

You have rights over your personal information:

  • Access: Request a copy of the information we hold about you.
  • Correction: Ask us to correct any inaccuracies.
  • Withdrawal of Consent: Stop specific uses of your information at any time.
  • Complaints: If you believe your data has been mishandled, you can contact us directly or the Office of the Australian Information Commissioner (OAIC).

We aim to respond to any requests within 30 days.
